cPanel Mail Guide

When you sign up for sgHosting Email or Hosting plans, you'll be able to use our cPanel web application to manage your mail. As an example, if you register the domain mydomain.tld, than anyone with an email address mailbox@mydomain.tld may use webmail.mydomain.tld to check their email through cPanel's webmail interface. We recommend RoundCube as the webmail program that our customers use because it is polished, easy to use and is actively being improved by its developers. From the cPanel webmail dashboard you may also change your password, forward messages to another email address, setup auto-responders and message filters here.

Changing Your Password: Log into webmail and click on the Change Password icon on the bottom left of the cPanel. You will need to enter your new password and then repeat it before changing it. We recommend a mix of lowercase and uppercase characters as well as at least 2 number digits for a secure password. cPanel will grade the strength of your password and may refuse if it is too weak.

Mail Forwarding: Log into webamil and click on the Forwarding Options icon (second from the left, next to Change Password). Click the Add Forwarder button, and then enter the email address to which you wish your mail forwarded to. Click the Add Forwarder button to finish. Note that mail will still be delivered to your mydomain.tld mailbox, with a copy being sent to the forwarded address.

If you want to forward all mail to another address (ie mailbox@hotmail.com) and not keep a copy in the original inbox (ie mailbox@mydomain.tld), you should create the forwarder in your full cPanel (log into cpanel.mydomain.tld) and then delete the original inbox. The drawback to this approach is that you will not be able to send messages or replies from the mailbox@mydomain.tld original mailbox, but you will still be able to reply using the forwarded hotmail address.

Auto-Responder: Log into webmail and click on the Auto Responders icon (third from the left, next to Forwarding Options). Click the Add Auto Responder button and create your message.

The Interval field specifies a number of hours between auto-replies - for example, a 24 hour value will ensures that a sender will only receive 1 auto-reply message per day, even if they send you multiple emails over that time. Place your name in the From field, and select a suitable subject (ie "Out Of Office - Returning October 1"). The Body field contains the content of the message that will be sent.

You can also specify a Custom Start and Stop date - for example, you can setup a message on December 21st that will run from December 24th to January 2nd and automatically stop sending after that date so you don't have to remember to log in and turn off the autoresponder first thing on January 2nd. When satisfied with your message, click the Create/Modify button.

Email Filtering: Log into webmail and click on the Email Filtering button, second option from the bottom right and next to Email Trace. From here you can setup specific rules about how messages that you receive are handled. Although this article does not go into exhaustive detail about this feature, here are some simple examples.

1. All messages from spam.guys@hotmail.fr are to be considered spam and discarded:
- Click Create a New Filter button
- Name the filter "Discard email from spam.guys"
- In the Rules section, select "From" from the left dropdown list, "Equals" from the right dropdown list, and then enter "spam.guys@hotmail.fr" into the text field below.
- In the Actions section, select "Discard Message"
- Click the Create button

2. All messages from support@cibc.com should be redirected to a folder called Bank
- First, make sure the Bank folder has been created. You can do this through the Webmail program or through your mail client ie. Outlook
- Click the Create a New Filter button
- Name the filter "Bank Messages"
- In the Rules section, select "From" from the left dropdown list, "Equals" from the right dropdown list, and then enter "support@cibc.com" into the text field below.
- In the Actions section, select "Deliver to folder" and then click the Browse button and select the "Bank" folder from the list.
- Click the Create button

Mail in Outlook, Windows Live Mail, Thunderbird, Mac Mail, etc: Log into webmail and click on the Configure Mail Client button (fourth icon from the bottom left, next to Auto Responders). This screen will give you several options for setting up your mail program with the correct new settings, and generally you'll want a secure IMAP connection. You can find your mail program under the Application table and select "IMAP over SSL/TLS" to download a script that you can run to do this automatically. Note that you can substitute mail.mydomain.tld as a replacement for the server sylphy.websitewelcome.com if you are doing a manual configuration.
